March Graduate Reporting

Summary

The following steps below outline the process for reporting students who graduated or earned a Certificate of Attainment (CA) after October 1st and prior to March. These steps will ensure students are properly reported in the March 1st SIMS submission and the accurate calculation of the District and school graduation and dropout rates.

To Identify Student as a Graduate:

  • Search for the student you wish to update by typing ID or name in the Search Box              
  • Submit a help ticket to report a student from prior years or not currently enrolled.
  • Important: Review the IEPs for each Special Education student prior to coding them a graduate (DOE012 = 04).

 

1. Transfer Out of School

  • Go to the Transfer Out page (School Enrollment > Transfers > Transfer Out of School, see below) and record the following information: transfer options, exit date, indicate 20 as the exit code, and the appropriate exit comment. Note: The exit code will be overwritten by the Enrollment Status selected on the EPP page. 
  • Check the box indicating that you have followed the Enrollment Policy
  • Check the box that confirms you want to remove any attendance records after the exit date if records are found.
  • Submit

2. Update Graduation Eligibility Page

  • Update the Enrollment and Graduation status on the Graduation Eligibility Page from either of the following places:
    • Click on 'more' then Support Plan (SSP)  (on left navigation), then Graduation Eligibility (on bottom of page),
    • Click on 'SPS' then Graduation Eligibility (on left navigation),
    • Then:
    1.  Update Enrollment Status. (04) is the Graduate code.
    2.  Verify that the Competency determination value is properly set (No, SPS-CD, DESE-CD)
    3.  Update Post Grad Plans and Grad Dates for graduates
    4. Certify information is correct and submit.

  • Click the Historical Course Grades link to determine whether summer school credits/grades were updated.
  • Students will appear on the Graduate Verification Report in the Data Warehouse the day after coding

3. Graduate Verification Report

  • From the Data Hub, go to Landing Page click on Graduation and run the Graduation Verification Report.
  • Select the School Year, School Name, and choose Graduation Period (Mid-Year).
  • Review the count and ensure ALL names expected are on the list. 
  • Submit the student list and the signed verification report in a Service Desk ticket with your school’s name and “Grad Verification Report” in the subject line.
