DataHub – How to Export Data from Visuals and Reports

Audience: All DataHub users (teachers, school leaders, central office staff)

1. Export from a Visual in an Interactive Report

  1. Hover over the visual you want to export.
  2. Click the More options (⋯) menu.
  3. Select Export data.
  4. Leave all default selects and click Export.
  5. File will download and should be available to Open from Downloads folder
  6. The file downloads with only the data from that visual you selected.

Tip: Exporting from a single visual is best when you only need the underlying data-set behind a chart, matrix/table, or data card.

 

 

 

 

2. Export a Paginated (Export-Friendly) Report as Excel/PDF/Word

  1. Open the Export-friendly report in DataHub.
  2. Select all parameters (Student ID, School, Year, Date range, etc.) to run the report.
  3. Click Export in the toolbar to see the drop-down menu.
  4. Choose the file type (PDF, Excel, Word, etc.).
  5. The exported file opens in a new tab or downloads directly.

Tip: Paginated (Export-friendly) reports are designed for cleaner printing and multiple page exports.

 

 


 

 

 

3. Mixed Report Types

Some reports contain both print‑friendly (paginated) views and interactive report tabs. In these cases, you can export in two ways:

  • Click Export directly from the toolbar to download the current view.
  • Or click Open report to launch the full report, then choose to print, save, or share it from there.

 

Best Practices:

  • Use PDF format for the cleanest print layout.
  • Use Excel when you need to work with underlying data for further analysis.
  • Export from a visual if you only need one chart or table.
  • Always confirm FERPA and SPS District guidelines before printing and sharing student data.
