The following steps outline the process of reporting students who graduated or earned a Certificate of Attainment (CA) during the summer. These steps will ensure students are properly reported in the October 1 SIMS submission and the accurate calculation of the District and school graduation and dropout rates.
Review List of Prior Year Seniors
- Click on Retention & Summer Graduate link on PowerSchool’s start page to generate a list of grade 12 students who were enrolled in June of the previous school year.
- Transfer Out students that are currently enrolled within your school.
- Submit a service desk ticket to report a student not listed or a student from prior years.
- Important: Review the IEPs for each Special Education student prior to coding them a graduate (DOE012 = 04).

Update a Student for Summer Graduate
- From the list of students, locate your student.
- Click the Graduation Eligibility link for that student, either using SPS on the left hand navigation, or More > Support Plan SSP


- Update the DOE12 - Enrollment Status field
- Verify that the Competency determination value is properly set (No, SPS-CD, DESE-CD)
- Update the DOE033 - Post Graduate Plans
- Update the SPS - Graduation Date
- Certify that the information is correct in relation to the new Competency Determination and the PPP, then Submit.

Guidance for students not listed on Summer Grad Retention Link:
- If the student is currently enrolled in PowerSchool: Transfer Out and then update EPP page as directed above
- If the student was enrolled in a previous year, but not currently active: Create Help Desk ticket requesting student be re-activated for Summer Grad reporting. You will be directed on next steps in the ticket.
Graduate Verification Report
- Students will appear on the Graduate Verification Report in the Data Warehouse the day after coding.
- From the Data Warehouse, go to SPS Reports, click on Data Validation, and run the Graduation Verification Report.
- Select the School Name, School Year, and set Summer Graduation /Cert to “Yes”.
- Submit the student list and the signed verification report in a Service Desk ticket with your school’s name and “Grad Verification Report” in the subject line.
